How we get personal information and why do we have it

Most of the personal information we process is provided to us directly by you for one or more of the following reasons:

To give you information you have requested or that we think may be relevant to a subject in which you have expressed an interest.
To provide information on products and/or services that you have bought from us.
To fulfil a contract that we have agreed between us.
To ensure the security and safe operation of our websites and underlying business infrastructure.
To manage any communication between us.

We also receive personal information indirectly, from the following sources in the following scenarios:

To fulfil a contract that we have agreed between us. In these circumstances, it may be your organisation, rather than yourself, that has given us your personal data.

We use your name, email, job title and organisational name and address to help determine what type of communications are most relevant to you. We use it for the following:

Update you on new blogs.
Invite you to live or recorded events such as briefings and webinars.
To inform you about new services and products.
To allow you to book time on our calendar.
To alert you to important IT developments and Cyber Security issues.

We collect certain data through cookies and similar technologies. Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information tracks your visits to our website. This helps us improve our website, content and your experience when visiting. We do not share or sell this information with any other organisation or individuals.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored.

We keep your name, email, company name and job title until such time as:

You withdraw consent.
You request deletion and we are not contractually obliged to keep you informed.
You are longer in a role that requires IT updates.
At least annually we review the level of engagement of those we contact on the legal basis of legitimate interest and delete personal information depending on how recently you engaged with us.

Your data is held in our marketing platform, run by Hubspot Inc. To provide a better quality service your data is stored in the US and is lawfully transferred to the US using the UK GDPR, Standard Contractual Clauses.

The Final Step secures its logins to Hubspot using Two Factor Authentication.

Your data protection rights

Under data protection law, you have rights which may vary according to the legal basis for processing, including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
