For clients on an IT support contract with us, IT procurement is included as standard. We handle the purchasing process on your behalf, though if you prefer to buy your own hardware and software directly, that is completely fine too. In that case, we can help you spec up machines and identify the right licences before you buy, so you purchase with confidence.
When we manage procurement for you, we handle hardware purchases in line with a standard we agree with you upfront. We also manage your software licences, including Microsoft 365, Adobe and many line-of-business applications, and handle renewals when they come around. At renewal time we carry out a full licence audit, send it to you for review and only renew what is agreed. Nothing auto-renews without your sign-off.
IT procurement is included in your monthly IT support fee with no additional charge for the service itself.
Any hardware or software we purchase on your behalf appears on your standard monthly invoice. We apply a margin to hardware and software, but we also benefit from distributor discounts that are passed on to you, so you are consistently getting a good deal. Where a vendor offers better pricing directly to the end user than to IT partners like us, we will always flag that and give you the option to purchase directly.
One thing worth noting: we do not apply a margin to Microsoft 365 licences. You pay the standard rate, nothing more.
The most immediate benefit is time. Speccing up machines, deciphering licence structures, managing renewals: it all adds up, and it is rarely the best use of your team's time. Our admin team are technically trained in this area, so what might take your staff hours of research and uncertainty, we can handle efficiently and accurately.
There is also the question of confidence. Purchasing the wrong spec of machine or the wrong licence tier is an easy and costly mistake. Having a team who do this day in, day out means fewer errors and better decisions from the outset.
From a cost perspective, managed procurement typically delivers strong ROI. The time saved, plus avoiding the cost of training internal staff in procurement, more than offsets any margin paid. And if we find it cheaper to buy direct, we will always tell you.
For businesses with high volumes of hardware and licensing requirements, admin time can occasionally be charged beyond what is included in the monthly fee. We are always upfront when that is likely to be the case, and in most instances our admin time costs less than diverting internal resource away from their core responsibilities.
For IT procurement, it’s hard to set specific SLA terms due to factors like hardware availability, delivery times and continuity.
Most standard equipment can typically be supplied and setup by our team within a few days, depending on vendor stock and manufacturer lead times. In some cases – particularly for specialist or custom kit – delivery may take up to one or two weeks, so we advise you provide as much notice of a new starter or specific requirements well in advance. Where urgency is critical, next-day replacement may be possible, but a good provider will be clear about what is realistically achievable.
Key questions to ask a procurement partner include:
- What are the typical lead times for standard and non-standard equipment?
- How do you manage vendor relationships and supply chain delays?
- What warranty and manufacturer support is included?
- How do you handle urgent or business-critical replacements?
No single provider can control global supply chains, but strong vendor relationships, standardised hardware recommendations and clear expectations are what make IT procurement reliable and low-risk.
Yes. If you are planning a move to an AWS or Azure-based platform, we can assist with that procurement process, helping you understand the right services and licensing tiers for your workloads before you commit.
We also have extensive experience with SaaS licensing, particularly Microsoft 365. We manage licence purchasing and renewals for all of our clients, and can assist with other licences including Adobe and many line-of-business applications.
Most IT support providers include procurement as part of their service, and that is the model we recommend. Your IT partner knows your environment, your team and your business goals, meaning procurement decisions are made with your actual needs in mind rather than in isolation.
Large global procurement consultants operate very differently. Their primary focus is commercial (procurement volume and margin) rather than a deep understanding of your business. They are unlikely to know whether a certain machine spec is right for your workflows, or whether a particular licence tier is overkill for your team size. Our view: wherever possible, allow your IT provider to manage procurement on your behalf, or at the very least get their input before buying. There is rarely a good reason to bring in a standalone procurement firm.
